Administrative Assistant

Job Description

Duties include calendar and event management, with shifting priorities and deadlines, managing details and coordinating with several stakeholders. Demonstrates strong accuracy and attention to detail while taking the initiative to manage logistics of the department such as maintaining divisional organizational charts, distribution lists, as well as other administrative support functions such as asset management, new employee onboarding tasks, and office moves, among others.
Strong capability working with all Microsoft tools, Intel tools, purchasing and finance systems. Supports office administration with associated tasks (ordering office supplies, food orders, onsite needs). Assists in coordinating activities across the organization, events, conferences, F2Fs, etc: plans and organizes meetings and offsites, prepares agendas, coordinates all logistics.
Additional duties include managing tactical projects, tracking indicators and metrics; documenting processes as well as general administrative duties such as order supplies, coordination, shipments, new business landing tasks and employee/contractor inquiry support. Will work closely with other admins or business operations people to help facilitate timely and accurate planning needs.

Qualifications

You must possess the below minimum qualifications to be initially considered for this position. Preferred qualifications are in addition to the minimum requirements and are considered a plus factor in identifying top candidates.

Minimum Qualifications:

  • 2-4 years of experience as administrative assistant
  • Executive Bilingual Assistant degree or equivalent
  • Other desirable fields will be considered (BA, IE, other)
  • Bilingual English/Spanish
  • Proven record of organization and planning skills
