Administrative Team Assistant (m/f) - Fixed-Term Contract of 2 Years

Job Description

As an Administrative Team Assistant, you will mainly perform various administrative and project-related activities. Typical duties may include but are not limited to the following:

  • Drafts, composes, types, and proofs correspondence using current office software applications;
  • Creates and sustains systems for retention, protection, retrieval, transfer and disposal of confidential information;
  • Schedules and coordinates logistics for meetings and events;
  • Organizes and manages calendar schedules for managers and/or department;
  • Makes travel arrangements and prepares expense reports;
  • Maintains office supplies;
  • Manages departmental recognition, tracks headcount and spending;
  • Serves as an information resource/communication channel for policies and procedures;
  • Is a resource for office related software applications.

Duties may also include execution of research, data analysis, and preparing reports/recommendations, as well as copying, collating, sorting and distributing materials. Assignments are complex and diversified in nature and may require working within a globally dispersed team an work is performed within generally defined parameters. Judgment and decision making ability is required in resolving moderately complex problems.

The role requires deep understanding of business objectives and organizational priorities. A successful administrative assistant:

(1) consistently shows initiative, creativity and flexibility in managing complex situations on a day to day basis

(2) is always looking to improve efficiencies and embrace change

(3) follows up when unsure, continues to drive issues until resolved/closed

(4) strives to execute flawlessly, set goals and meet deadlines.

Please note that we are offering a Fixed-Term contract (2 years).


  • 5+ years' experience as an administrative assistant
  • Excellent written, verbal and phone communication skills, as well as interpersonal skills and ability to be a team player with adjacent group admins in English and German.
  • Work independently, prioritize and manage to completion support requests.
  • Effectively coordinate meeting/event logistics that may involve several cross-functional and global teams.
  • Recognize potential issues in advance and proactively mitigate in creative ways.
  • High degree of proficiency with all Microsoft Office, Collaboration, SharePoint and Inside Blue products.
  • Strong interpersonal skills, work well in a team and be able to communicate effectively with colleagues, customers and clients.
  • Accustomed to expense report generation and tracking
  • Experience as an admin in a fast-paced and dynamic work environment
